The official syllabus distinguishes local and cloud storage and includes protecting data through backups. Understanding where work is stored supports practical tasks across documents, presentations and other applications.
Do not assume that saving locally means a file has also reached a cloud folder. Follow the school’s software and assessment instructions when practising examination workflows.

Find whether the problem is location or version
Ask the student where the file should be saved before they begin. If they cannot name the folder, address location first. If they open a file confidently but its content is old, address version identification.
The application’s recent-files list can help, but it does not teach the folder structure by itself. Have the student navigate to the location and explain the route.
Save, close and reopen a fictional notice
Create a practice folder named Book-Exchange-Practice. Save a document as Book-Exchange-v01, make one visible revision and save the next version as Book-Exchange-v02 using the application’s appropriate command.
Close the application and reopen v02 from that folder. Check that the revision is present. The version label helps identify the intended file; reopening checks whether the content was actually saved.
Keep the format required for further editing. An exported PDF and an editable source document serve different purposes; a different extension should come from a proper save or export operation, not simply renaming the suffix.
Distinguish synchronising from protecting a copy
Discuss what happens if the only copy is accidentally deleted or overwritten. A cloud sync service may propagate changes; recovery depends on the service’s history and retention settings. Teach a backup routine appropriate to the school’s approved tools.
Use fictional content during practice and follow school account rules. There is no need to move assessed work or personal information into an unfamiliar service to learn file organisation.
Look for a complete independent workflow
Give a new practice task and ask the student to choose the folder, name the file, save a revision and reopen the correct result. Record which step needs prompting rather than judging only whether the document looks finished.
Bring the software name and a description of the failed step to a consultation. A tutor can teach a repeatable workflow through separate practice files while preserving the student’s responsibility for assessed work.
