Use SAFRA’s official birthday-party page and give the outlet your preferred date, alternative date, approximate child and adult numbers, and the birthday child’s age. Ask for the complete current package rather than only the headline room rate.
State whether you need water-play admission, a room for refreshments, or both. Ask how early the host may enter and when guests should arrive. An enquiry is the beginning of a booking discussion; wait for the outlet’s confirmation before treating the date as secured.
Compare the full cost
Build your budget from the written quote. Check the room charge, included child and adult entries, charges for additional guests, food arrangements and any extras. Ask whether taxes or other charges are included. The room price alone cannot establish the total cost for your group.
Compare promotions against the standard package using the same guest numbers and date. A lower promotional price may have weekday, payment-date or eligibility restrictions. Confirm the applicable terms before deciding.
Keep a modest allowance for practical items such as transport, refreshments and party supplies. Decide what matters most to the child before adding optional purchases.

Confirm capacity and supervision
Ask for the permitted capacity of the room and the arrangements for guests using the playground. Count accompanying adults as well as children. A party invitation should make clear whether a parent is expected to stay.
Agree how children will be supervised during water play and while moving between the room and changing areas. Tell guests about clothing, towels and swimming diapers where relevant. Check the venue’s requirements rather than assuming an adult elsewhere in the building is sufficient.
For a child who prefers a quieter celebration, consider a smaller group and a simpler schedule. The best party is one the birthday child can enjoy comfortably.
Food, cake and the three-hour plan
Confirm outside-food, cake, decoration and cleanup arrangements with the outlet. Ask about setup access and any restrictions on equipment or supplies. If guests have dietary requirements, make these clear when organising food.
Sketch a simple sequence: arrival, changing, play, refreshments, cake and departure. Leave space between activities so the party does not become a race against the room’s end time. This is a planning example, not a prescribed SAFRA itinerary.
Give helpers clear roles. One adult can handle arrivals while another checks supplies and a third supports changing or supervision, according to the group’s needs.
Send invitations after confirmation
Keep the confirmed date, slot, room, payment record and contact details together. Before paying, read the written policy for changes, cancellation and unused admissions. Ask for clarification on anything you cannot confidently explain to your guests.
